Phixy provides professional networking and outreach tools that help users identify relevant similarities and connection points, create personalized communications, organize professional contacts, and manage outreach.

This Privacy Policy explains how Phixy ("Phixy," "we," "us," or "our") collects, uses, shares, and protects information when you use our website, application, browser extension, integrations, and related products and services (collectively, the "Services").

1. Information We Collect

The information we collect depends on how you use Phixy and which features you enable.

Account and Profile Information

When you create or use a Phixy account, we may collect information such as:

  • Your name and email address
  • Login and authentication information
  • School, degree, graduation year, and other academic information
  • Employment and professional information
  • Professional interests and preferences
  • Information provided during onboarding
  • Account settings and communications with Phixy

If you sign in through a third-party authentication provider, we receive the information you authorize that provider to share with us. We do not receive your password for that third-party account.

Professional Profile Information

When you connect, sync, or provide your professional profile, Phixy may process information such as:

  • Your name and profile URL
  • Headline and location
  • Education and employment history
  • Professional experience
  • Clubs, organizations, societies, and extracurricular activities
  • Skills, certifications, languages, sports, and professional interests
  • Other information included in your professional profile

Information From Professional Profiles

When you use Phixy on LinkedIn or another supported professional platform, we may process information displayed on profiles you choose to view or analyze. This may include:

  • Name and profile URL
  • Job title and employer
  • Education and employment history
  • Professional experience
  • Organizations, clubs, activities, and affiliations
  • Skills, certifications, languages, sports, and interests
  • Other professional information available to you or publicly available

Phixy may compare this information with information from your profile to identify potential similarities or connection points, including shared schools, employers, organizations, experiences, locations, interests, or professional backgrounds.

Phixy processes this information only to provide the professional networking and outreach features requested by the user.

Content You Provide

We may collect content you choose to provide through the Services, including:

  • Resumes and professional documents
  • Contact notes and tags
  • Email preferences and writing instructions
  • Draft emails and edits
  • Prompts and requests
  • Feedback and survey responses
  • Customer-support communications

Email and Communication Information

When you connect an email account or use Phixy’s email-related features, we may process information necessary to provide those features. Depending on the features you use and the permissions you authorize, this may include:

  • Your email address and account identifier
  • Authorization tokens
  • Sender and recipient email addresses
  • Email subject lines and message content
  • Message and conversation identifiers
  • Dates and timestamps
  • Drafts created or edited through Phixy
  • Delivery, outreach, follow-up, or reply status
  • Attachments included in professional outreach emails

We use this information to help users create, organize, send, record, and manage professional outreach.

If a direct email integration is unavailable and you enable Phixy’s fallback email-extension functionality, the extension may automatically add a designated Phixy email address as a BCC recipient to professional outreach emails. This allows Phixy to receive and record the outreach so that it can be organized and managed through the Services. As a result, Phixy may receive the email’s sender and recipient addresses, subject line, message content, date and time, delivery information, and any attachments included in the email.

Before this functionality is enabled, Phixy provides an in-product notice explaining the feature and requires the user to take an affirmative action to enable it. Users can disable the functionality through the extension or Services, or by uninstalling the extension.

Phixy accesses email information only as permitted by the user and the applicable email provider. You may disconnect an email integration through Phixy or through your email-provider account settings.

Payment Information

If you purchase a paid Phixy plan, we may collect billing and transaction information such as:

  • Billing name and contact information
  • Subscription plan
  • Payment status
  • Transaction amount and date
  • Limited payment-method information

Payments may be handled by a third-party payment processor. Phixy does not store complete payment-card numbers or card security codes.

Device and Usage Information

When you use the Services, we may automatically collect limited technical and usage information, including:

  • IP address
  • Browser and device type
  • Operating system
  • Extension or application version
  • Login and session information
  • Features used
  • Dates and times of activity
  • Error reports and diagnostic information
  • Language and time-zone settings
  • Referring pages or acquisition source

Phixy does not use its browser extension to create an unrelated record of your general browsing activity.

Cookies and Local Storage

We may use cookies, browser storage, and similar technologies to:

  • Keep users signed in
  • Maintain account and session security
  • Save preferences
  • Remember onboarding progress
  • Prevent fraud and misuse
  • Measure product performance
  • Diagnose errors
  • Understand how the Services are used

2. How We Use Information

We may use information to:

  • Create and maintain Phixy accounts
  • Provide and personalize the Services
  • Sync and organize professional profile information
  • Identify relevant similarities and connection points
  • Generate professional-profile summaries
  • Generate and edit personalized outreach
  • Save and organize contacts
  • Record professional outreach submitted through enabled extension functionality
  • Manage outreach and follow-ups
  • Detect or record replies where enabled
  • Provide browser-extension and email-integration functionality
  • Process subscriptions and payments
  • Provide customer support
  • Maintain and improve product performance
  • Diagnose technical issues
  • Prevent fraud, spam, abuse, and security incidents
  • Enforce our Terms and protect Phixy and its users
  • Send account, security, service, and product communications
  • Comply with applicable legal obligations

Phixy does not use professional-profile or email information to make decisions about credit, insurance, housing, employment eligibility, or other legally regulated eligibility matters.

3. Artificial Intelligence

Phixy uses artificial intelligence and automated systems to provide features such as:

  • Identifying similarities and connection points
  • Summarizing professional information
  • Organizing and categorizing information
  • Generating and editing emails
  • Suggesting outreach topics
  • Recommending follow-ups

Information relevant to a feature requested by the user may be transmitted to and processed by artificial-intelligence and technology service providers acting on Phixy’s behalf. This may include selected professional-profile information, user instructions, draft content, or email content when necessary to provide the requested feature.

We limit the information provided to service providers to what is reasonably necessary to deliver, secure, and support the relevant feature.

Phixy does not:

  • Sell prompts, professional-profile information, or private email content
  • Use private email content for advertising
  • Permit service providers to use private email content for advertising
  • Use Google user data or private email content to train generalized artificial-intelligence models
  • Permit artificial-intelligence service providers to use Google user data or private email content to train generalized artificial-intelligence models

Phixy may use aggregated or de-identified information, user feedback, and product-quality signals to understand and improve the Services, provided that the information does not reasonably identify an individual.

AI-generated information may be incomplete or inaccurate. Users should review generated content before sending or relying on it.

4. How We Share Information

Phixy does not sell personal information. We also do not share personal information for third-party behavioral advertising. We may share information only in the circumstances described below.

Service Providers and Subprocessors

We may use service providers to support:

  • Cloud hosting and data storage
  • Authentication
  • Artificial-intelligence processing
  • Email functionality
  • Payments
  • Security and error monitoring
  • Analytics
  • Customer support
  • Product communications

These providers may process information only as necessary to provide services to Phixy and are subject to applicable contractual or legal restrictions.

At Your Direction

We may transmit or disclose information when you request or authorize us to do so, including when you connect an integration, create or send a communication, save or export information, or use a third-party service through Phixy.

Legal and Safety Reasons

We may disclose information when reasonably necessary to:

  • Comply with applicable law or legal process
  • Respond to lawful requests from authorities
  • Enforce our Terms
  • Prevent fraud, abuse, or security incidents
  • Protect the rights, property, and safety of Phixy, our users, or others
  • Establish, exercise, or defend legal claims

Business Transactions

Information may be transferred in connection with a merger, acquisition, financing, restructuring, sale of assets, or similar business transaction.

5. Browser Extension

The Phixy browser extension supports Phixy’s professional networking and outreach features. Depending on the version and features enabled, the extension may access information necessary to:

  • Authenticate the user
  • Operate on supported professional and email platforms
  • Display Phixy functionality
  • Read professional information displayed on a profile selected by the user
  • Communicate with the Phixy application
  • Generate and manage professional outreach
  • Support enabled email-recording functionality
  • Save user preferences and session information

When a user opens or activates Phixy on a supported professional profile, the extension may read the professional information displayed on that profile and transmit the relevant information to Phixy’s servers. Phixy uses this information to compare profiles, identify similarities, generate requested outreach, and provide related features.

Relevant information may be transmitted to an artificial-intelligence service provider when necessary to generate or edit content requested by the user. Phixy limits the information transmitted to what is reasonably necessary for the requested feature.

Professional-profile information may be saved to the user’s Phixy account when the user saves a contact, draft, connection point, or outreach record, or when storage is necessary to maintain a feature requested by the user. A profile URL may be retained as part of a saved contact or outreach record. Information that is not saved may be retained temporarily as reasonably necessary to generate the requested result, maintain security, prevent abuse, and diagnose technical errors.

When the fallback email functionality described in Section 1 is enabled, the extension may automatically add a designated Phixy email address as a BCC recipient to professional outreach emails so that Phixy can receive and record the outreach.

Users may delete saved contacts, drafts, outreach records, and other account information through available account controls or by submitting a deletion request to privacy@phixy.ai.

Phixy does not use the extension to create an unrelated record of a user’s general browsing history. Phixy limits information obtained through the extension to providing, maintaining, securing, and improving the disclosed, user-facing functionality of the Services.

Phixy does not use extension data for unrelated advertising and does not sell extension data to data brokers.

Phixy’s use of information received through the browser extension complies with the Chrome Web Store User Data Policy, including the Limited Use requirements.

6. Google User Data

When you connect a Google account, Phixy’s use and transfer of information received from Google APIs will comply with the Google API Services User Data Policy, including the Limited Use requirements.

Google user data is used only to provide or improve user-facing features requested or enabled by the user.

Phixy does not:

  • Sell Google user data
  • Use Google user data for advertising
  • Use Google user data to train generalized artificial-intelligence models
  • Permit service providers to use Google user data to train generalized artificial-intelligence models
  • Transfer Google user data except as necessary to provide the requested feature, maintain security, comply with applicable law, or act with the user’s consent

Human access to Google user data is limited to situations where:

  • You provide consent for support or troubleshooting
  • Access is necessary to investigate fraud, abuse, or a security incident
  • Access is required by applicable law
  • The information has been aggregated or de-identified for internal operations

You may revoke Phixy’s access through your Google account settings.

7. Data Retention

We retain information for as long as reasonably necessary to:

  • Provide the Services
  • Maintain an active account
  • Preserve contacts, drafts, and outreach records saved by the user
  • Complete transactions
  • Meet legal and accounting requirements
  • Resolve disputes
  • Prevent fraud or abuse
  • Maintain security
  • Enforce our agreements

Professional-profile information, email information, contacts, drafts, and outreach records saved to an account may be retained until the user deletes the information, closes the account, or requests deletion, subject to legitimate legal, security, fraud-prevention, and operational requirements.

Information processed for a one-time requested feature but not saved to the user’s account may be retained temporarily as reasonably necessary to provide the feature, maintain security, prevent abuse, and diagnose technical issues.

The appropriate retention period depends on the type of information, why it was collected, whether the user maintains an active account, and whether retention is required for legal, security, or operational reasons.

When information is no longer reasonably necessary, we may delete, de-identify, or aggregate it. Some residual information may remain temporarily in secure backups or logs.

8. Your Choices and Rights

Depending on your location and applicable law, you may have the right to:

  • Request access to personal information associated with you
  • Correct inaccurate information
  • Request deletion of information
  • Obtain a copy of certain information
  • Object to or restrict certain uses
  • Withdraw consent
  • Disconnect an integration
  • Appeal the denial of an eligible privacy request
  • Contact an applicable privacy regulator

Even where a particular privacy law does not apply, Phixy may voluntarily honor reasonable requests to access, correct, or delete account information.

To submit a request, email privacy@phixy.ai. We may need to verify your identity before completing a request.

You may also:

  • Delete saved contacts, drafts, outreach records, and other information through available account controls
  • Disable the fallback email-extension functionality
  • Disconnect Google or Microsoft integrations through your account settings
  • Revoke third-party access through the relevant provider
  • Uninstall the browser extension
  • Clear browser or extension storage
  • Close your Phixy account

9. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, and disclosure. These safeguards may include encryption in transit, access restrictions, authentication controls, monitoring, and secure infrastructure providers.

No online service or storage system can be guaranteed to be completely secure. Users are responsible for protecting their login credentials and notifying Phixy if they suspect unauthorized account activity.

10. International Processing

Phixy and its service providers may process information in countries other than the country where you live.

These countries may have different privacy and data-protection laws. Where required, we use legally recognized measures designed to protect information transferred internationally.

11. Children’s Privacy

Phixy is not directed to children under 16, and we do not knowingly collect personal information directly from children under 16.

If you believe a child has provided personal information to Phixy, contact us at privacy@phixy.ai.

Users who have not reached the age of legal majority where they live must have permission from a parent or legal guardian to use the Services.

12. Third-Party Services

Phixy may operate alongside services provided by LinkedIn, Google, Microsoft, and other third parties.

Phixy is not affiliated with, endorsed by, or sponsored by these third parties unless expressly stated.

Third-party services are governed by their own privacy policies and terms. Phixy is not responsible for their independent practices, availability, security, or account decisions.

13. Changes to This Privacy Policy

We may update this Privacy Policy as Phixy and the Services change. The date at the top of this Privacy Policy indicates when it was most recently updated.

If we make material changes to how we collect, use, or share personal information, we may provide notice through the Services, by email, or through another appropriate method where required.
